Privacy statement
Last updated 7 October 2026.
Who we are
Latus Property Group manages rental homes in Hamilton, New Zealand. It is a trading name of Maxim Stephens. This statement explains what personal information we collect, why, and what we do with it, under the Privacy Act 2020.
We collect and hold your information. You can contact us at [email protected], or through our contact page.
What we collect, and why
Rental appraisal requests. Your name, email, phone number if you give it, the rental's address, and anything you tell us about it. We use it to reply to you and to prepare the appraisal you asked for.
Repair requests from tenants. Your name, phone, email if you give it, the address and the problem. We use it to arrange the repair, which means passing the details a trade needs to them, and telling the owner.
How you use this website, only if you press Accept on the cookie banner. See the cookies and ads page.
Rental enquiries. Your name, email, phone number if you give it, the home or areas you are interested in, what you can pay, the bedrooms you need, when you need to move, how many people will live there and any pets. We use it to reply to you and to arrange viewings. We get some enquiries through Trade Me, Renti and other listing sites, and use them the same way.
Tenancy applications. Your name, contact details, the home, who will live there, pets and smoking, your referees, and your consent to reference, credit and criminal checks. We use it only to choose a tenant. We check photo ID in person and never keep a copy.
Renter updates. Only if you tick the box, or tell us yes in person. We keep your name, contact details and what you are looking for, and email you when a home that suits you comes up.
Landlord updates. Only if you tick the box on our forms or sign up for them. We use your email address to send the updates.
Management agreements come with their own privacy statement, given to you at the time, because they involve more information.
You do not have to give us anything
Giving us your details is up to you. If you do not give us an email address or phone number, we cannot reply. If you do not give us a rental's address, we cannot appraise it.
Information we get from someone else
Sometimes we collect information about you from another person: a referee, a credit reporting agency, or an owner passing on the details of a current tenant when we take over a home. When we do, we let you know that we have it, who holds it, and your rights to see and correct it, as the Privacy Act requires from 1 May 2026, unless an exception in the Act applies.
Who sees it
Latus Property Group, and the people who need it to do the job you asked for: for example a trade for a repair, or the owner of a home you rent.
The services we use to run the business, which store or process information for us: Cloudflare, which hosts this website, MailerLite, which receives the forms on this website and sends our landlord and renter updates, our email provider, and our customer records system.
Google and Meta, only if you accept cookies. They use the information for their own purposes too, such as measuring and showing ads.
We never sell your information.
Information sent overseas
Some of the services above store information outside New Zealand. Google and Meta are based in the United States. They may not be required to protect your information in a way that, overall, gives safeguards comparable to New Zealand's Privacy Act. By pressing Accept on the cookie banner, you agree to your information going to them on that basis. If you press No thanks, it does not.
Keeping it safe, and for how long
We keep your information in secure systems that only we can reach, and take reasonable steps to stop it being lost or misused.
We keep it only as long as we need it, or as long as the law requires. For an owner's enquiry that goes nowhere, until the enquiry is finished. If you enquire about or apply for a home, the Residential Tenancies Act asks us to keep our messages with you for the length of that tenancy and 12 months after it ends, so we keep your details and those messages for that time, then delete them, unless you asked us to keep them for other homes. If you become a client or a tenant, for as long as we manage the home and any period the law then requires.
If a privacy breach happens that is likely to cause serious harm, we will tell you and the Privacy Commissioner as soon as we can.
Landlord and renter updates
We only send them if you said yes. Each update says it is from Latus Property Group and has an unsubscribe link. If you unsubscribe, we stop within 5 working days and never send you another. We keep a note that you unsubscribed, so it stays that way.
Your rights
You can ask to see the information we hold about you, and ask us to correct it. Email [email protected]. We reply within 20 working days and do not charge for this.
If you are not happy with how we have handled your information, tell us first so we can put it right. You can also complain to the Privacy Commissioner at privacy.org.nz.
